Palms Hire Terms

1. At a glance

Capacity : Up to 500 guests, seating for 400

Hire fee covers : Up to 300 guests; additional guests charged per head

Function time : 5 hours

Music off : 12:00 AM — hall vacated by 1:00 AM

Extra hours : $250 per hour plus GST

Booking deposit : $2,000, non-refundable

Security bond : $1,000, refunded after inspection

2. Booking and payment

• A $2,000 non-refundable booking deposit secures your date. Once the date is booked, the deposit is not refunded.
• A $1,000 refundable bond is paid with the deposit and returned in full within 7 days of a successful post-event inspection.
• The balance of the hire fee is due no later than 7 days before your event.
• All fees are exclusive of GST. GST is charged in addition and a tax invoice is issued.

3. Hire times

• our function period is 5 hours, at the times set out in your booking.
• All music and amplified sound stops at midnight and the hall must be completely vacated by 1:00 AM.
• Additional hours are $250 per hour plus GST, booked in advance or approved on the day, and are not available past 1:00 AM.

4. Guest numbers and security

• The hire fee covers a function of up to 300 guests. Guests above 300 are charged at the additional guest rate in your booking.
• Maximum capacity is 500 guests at any one time.
• Functions with more than 200 guests require licensed security, arranged and paid for by the hirer.

5. What the hirer provides

• Setup and pack up of tables, chairs and decorations.
• Crockery, glassware, cutlery, linen and all catering requirements.
• Your own caterers, decorators and entertainment suppliers.
• A liquor permit, if alcohol is being served.

6. Venue rules

• Strictly no smoking or vaping anywhere inside the hall, including the bar, kitchen and toilets.
• Strictly no outdoor cooking. No barbecues, spit roasts, tandoors, charcoal or gas appliances outside the hall, in the car park or at any doorway. All cooking takes place in the hall kitchen.
• No confetti anywhere in the hall or car park. No candle wax or dance floor wax on the dance floor.
• No naked flame, fireworks, sparklers or fog machines. Enclosed candles only.
• Please keep noise to a level that does not disturb neighbouring residents.

7. Cancellations

• The $2,000 booking deposit is non-refundable in all circumstances.
• Cancelling more than 30 days before your date: the deposit is forfeited and the balance of the hire fee is not payable.
• Cancelling 30 days or less before your date: the full hire fee remains payable.
• A booking may be transferred once to another available date, subject to availability, with more than 30 days’ notice.
• If the hall cannot be used because of a natural disaster or other event outside our control, we will offer an alternative date or refund everything paid in full, including the deposit.
